The Most Important Part of Planning Your Marquee Wedding Often Happens Before You’ve Chosen the Marquee
When couples first contact us here at Abracadabra Marquees and Events the conversation usually starts with marquee styles, guest numbers or dates.
Those are all important. But after years of building marquee weddings across North Yorkshire, we’ve learned that one of the most important stages of the entire planning process happens much earlier.
The site visit.
To most people, a site visit is simply someone coming to measure a garden or a field.
To us, it’s the point where ideas begin to become reality.
It’s where we start imagining how guests will arrive, where drinks will be served, how suppliers will work together and, ultimately, how an empty piece of land can become the setting for one of the most important days of someone’s life.
More importantly, we’re not looking for reasons why a marquee won’t work.
We’re looking for ways to make it work.
1. We Always Start With Access
One of the first things Michael, our Operations Director, assesses isn’t the view.
It isn’t the position of the marquee.
It isn’t even the ground.
It’s access.
Every marquee, floor panel, chair, table and lighting rig has to reach the installation area safely.
Our trailers are approximately eight feet wide, which means we generally need access of at least ten feet to comfortably manoeuvre equipment into position.
That might sound like a simple practical consideration, but it’s one of the foundations of a successful installation.
Narrow gateways, low-hanging branches, tight corners or soft ground don’t necessarily prevent a marquee from being installed — they simply become part of the planning process.
Experience teaches you to identify these things early so that installation day runs smoothly.
Michael’s Golden Rule
“If we can get the trailer in safely, we’re already halfway to building a great marquee.”
It’s a simple observation, but one that reflects years of experience leading installations across North Yorkshire.
2. We Ask About Things You Can’t See
One of the biggest surprises for couples is the number of questions we ask about things that aren’t visible.
During a marquee site visit, we may ask:
- Where does the electricity enter the property?
- Are there underground water pipes?
- Is there drainage beneath the lawn?
- Are there overhead power lines nearby?
- Has any recent landscaping taken place?
- Are there any restrictions around access?
None of these questions are designed to cause concern.
They’re designed to ensure that your marquee can be installed safely and efficiently, while protecting both your property and everyone working on site.
Sometimes clients know every answer.
Sometimes they don’t.
Both are perfectly normal.
The important thing is having those conversations early enough to avoid surprises later.
3. The Biggest Space Isn’t Always the Best Space
One assumption we often hear is:
“The marquee will probably have to go over there because that’s the biggest part of the garden.”
In reality, that’s not always the case.
We’re rarely looking for the biggest area.
We’re looking for the most suitable one.
That usually means considering:
- The natural levels of the ground
- Access for installation
- How guests will move around the space
- Where suppliers will work
- How the marquee will sit within its surroundings
- The overall experience for your guests
A Real North Yorkshire Example
One installation that has stayed with us took place on a farm just outside Northallerton.
The couple were understandably concerned because the field they had chosen appeared far steeper than they had expected.
Rather than dismissing the location, we spent time walking the site together.
A little further across the field, we found a naturally flatter area that provided exactly what was needed.
It’s one of those moments that reinforces an important lesson:
Sometimes the best solution is only a few metres away.
Michael’s Golden Rule
“If you can put a glass of wine on the table and it doesn’t fall over, the ground is probably level enough.”
It usually raises a smile during a site visit, but it captures something important.
Perfectly level fields are surprisingly rare across North Yorkshire.
Experience isn’t about expecting perfection.
It’s about recognising what’s suitable.
4. We’re Already Thinking About Your Guests
While we’re walking around a site, we’re also imagining the wedding day itself.
We’re asking ourselves questions such as:
Where will guests arrive?
Where will they naturally gather for drinks?
How will they move from the reception into the dining area?
Where will the dancefloor feel most inviting during the evening?
Will elderly relatives have easy access?
Will caterers have enough working space?
Good marquee design isn’t simply about fitting everything into a space.
It’s about creating an environment that feels comfortable, natural and enjoyable for everyone attending.
Those small considerations often make the biggest difference once the celebrations begin.
5. We’re Thinking About Your Other Suppliers Too
A successful marquee wedding is never created by one supplier alone.
During every site visit, we’re already considering how everyone else will work alongside us.
For example:
- Will the caterers have sufficient preparation space?
- Where will the florist unload?
- Can the photographer move freely between indoor and outdoor spaces?
- Where will the band or DJ set up?
- How will generators or power supplies be positioned?
- Can suppliers access the marquee without disrupting guests?
Thinking about these details early allows every supplier to do their job more effectively on the day itself.
Ultimately, that’s what creates a wedding that feels effortless for the couple and their guests.
6. Every Site Has Its Own Story
One of the things we enjoy most about working across North Yorkshire is the incredible variety of locations we visit.
One day we might be walking through a family garden in Harrogate.
The next, we’re standing in a field overlooking the Yorkshire Dales.
A few days later, we’re assessing a farm in the Vale of York or visiting a country property near Richmond or Bedale.
No two locations are ever the same.
That’s part of what makes marquee weddings so special.
Each venue reflects the people who have chosen it.
Whether it’s somewhere they’ve grown up, family land that’s been cherished for generations or simply a place with beautiful views, every site tells its own story long before the marquee arrives.
What We’ve Learned From Years in the Field
One thing we’ve learned after years of carrying out site visits is that couples often see obstacles where we see opportunities.
It’s completely understandable.
You’re planning one of the biggest days of your life.
You’re looking at an empty garden, a field or a piece of land and wondering:
“Is this really possible?”
We’re looking at exactly the same space — but imagining where the entrance will be, how the lighting will look after sunset, where guests will gather and how the whole celebration will come together.
That’s the benefit of experience.
It allows you to see the finished wedding long before the first marquee pole or frame is erected.
Good Planning Creates Great Weddings
If there’s one lesson we’ve taken from hundreds of marquee installations across North Yorkshire, it’s this:
The best weddings don’t happen because everything goes perfectly on the day. They happen because time has been invested in planning beforehand.
The site visit is one of the earliest stages of that journey.
It’s where questions are answered.
Ideas are explored.
Potential challenges are identified.
And confidence begins to grow.
For us, it’s never just about measuring a space.
It’s about helping couples imagine what’s possible.
Final Thoughts: Don’t Rule Out Your Location Before a Site Visit
Every marquee wedding starts with an empty space.
A garden.
A paddock.
A field.
A country estate.
But after years of building weddings across North Yorkshire, we’ve learned that remarkable celebrations rarely begin with perfect venues.
They begin with a conversation.
A walk around the site.
A few questions.
A shared vision.
And a team that’s committed to turning that vision into reality.
If you’re planning a marquee wedding anywhere across North Yorkshire, we’d always encourage you not to rule out a location before arranging a site visit.
You might be surprised by what experience can see.

Frequently Asked Questions
Why is a site visit important before booking a marquee?
A site visit allows us to assess access, ground conditions, utilities and layout. It helps us recommend the most suitable marquee and ensures the installation is planned safely and efficiently.
Can a marquee be installed on sloping ground?
Yes, in many cases it can. During a site visit, we’ll assess the gradients and identify the most suitable area.
As Michael often says:
“If you can put a glass of wine on the table and it doesn’t fall over, the ground is probably level enough.”
How wide does access need to be?
As a general guide, we look for access of around 10 feet to allow our trailers, which are approximately 8 feet wide, to reach the installation area safely.
What information should I have ready for a site visit?
It’s helpful to know where underground services such as water, drainage and electricity are located, along with any overhead cables or access restrictions.
Don’t worry if you don’t know everything — that’s part of what the site visit is for.
Do you only install marquees on perfectly flat ground?
Not at all.
Perfectly flat sites are uncommon, particularly across the rural landscapes of North Yorkshire. Experience allows us to work with natural landscapes and identify the most suitable location for your marquee.
